Best Ways to Sync Android with Microsoft Outlook

Best Ways to Sync Android with Microsoft Outlook

When you open the box that holds your Android phone, it will not be able to sync Microsoft Outlook with Android. To link Outlook calendar to Android phone to view appointments on your phone requires using third party Outlook sync software or the cloud. Such software can share data between Outlook for PC and your phone to keep them in sync.

best ways to sync Android with Microsoft outlook

Considering one in seven people use Microsoft Office, you most likely use Microsoft Outlook whether it’s at home or at work. It’s not surprising that you’re looking for the best ways to sync Android with Outlook contacts, calendar, notes and tasks.

Here are your three options to sync droid with Outlook:

  • AkrutoSync software for Windows.
  • Outlook.com cloud.
  • Samsung Kies software (only for Samsung Galaxy Note and other Samsung phones).

Let’s dig into each one.

AkrutoSync Outlook sync software for Windows

AkrutoSync is Windows PC software that uses a secure connection to sync Outlook calendar, contacts, tasks and notes with Androids and other devices. This process to sync phone to computer is automatic, continuous, private and seamless.

To transfer an Android calendar to Outlook for PC and vice versa, Akruto uses either your encrypted private Wi-Fi or Internet (uses paid plan) connection. Neither option stores your personal information in the cloud — not Google, not Outlook.com or any other cloud.

This video demonstrates setting up AkrutoSync to sync with Samsung Galaxy S7, but most of this video is applicable to all Android phones.

Akruto supports the following versions of Outlook:

  • Microsoft Outlook 2002
  • Microsoft Outlook 2003
  • Microsoft Outlook 2007
  • Microsoft Outlook 2010
  • Microsoft Outlook 2013
  • Microsoft Outlook 2016

Although Pew Research Center reports 91 percent of Americans agree that consumers have lost control over personal information, you can still do something about it. Outlook holds your personal information as well as all your contacts’ information. With AkrutoSync, that information stays private because the data moves directly between PC and device.

An all too frequent complaint about Outlook sync software is that some fail to transfer important data or lose it. This is a big problem when people miss appointments or meetings because it didn’t show up on their phones while they were on the go. One of Akruto’s super powers is its ability to sync everything completely and accurately.

It even has a fail-safe in place in case the user accidentally changes or deletes something. The sync history feature keeps a history of every single change. You can review it anytime to restore deleted information.

Whether you own a Motorola Moto X, Google Nexus 6 or an other Android phone, Akruto is compatible with all Androids running 4.1 and higher. It also works with some older versions of Android. It will also support the new Android 4.5 Lollipop.

The Outlook sync software simply moves your Outlook data between computer and devices. Nothing else changes. You can keep using the contacts and calendar app that came with your Samsung Galaxy Note 4, Xperia Z3 or other Android phone or tablet.

Some sync software products add their own calendar and contacts apps to your droid. This takes up precious space on your phone and makes it confusing to have two apps: the phone’s own and the sync software’s.

The way Akruto works is that it mimics an Exchange server without the need to buy one. Considering these servers cost more than a thousand dollars, the software is a bargain at $39.95. You can try the complete software free for seven days. Get AkrutoSync now to see how you like it. We even offer 24/7 support for trial users, so contact our team if you need help.

Using Outlook.com cloud

Outlook.com makes it easier to access your information from any connected computer or device. Everything is stored in one place, so there’s no moving calendar from desktop Outlook to Android. But if you do want to sync Outlook.com with Outlook for PC, it can be done. But not easily. For instructions on how to do this, refer to Slipstick’s tutorial.

With reports of Gmail and iCloud being hacked, storing your information in Outlook.com may not be something you want to do. Especially since your Outlook data has a lot of personal information. If you’re in it for the convenience and accessibility, it’s an option.

Why do this when there are options that let you share Android with Outlook contacts and calendar? Your Android phone is most likely always with you, so you can access this information from anywhere without sacrificing your privacy.

Samsung Kies software

This is a free app available to Samsung Galaxy S5, Samsung Galaxy S4, Samsung Galaxy Note 3 and other popular Samsung phones and tablets. It’s similar to Apple’s iTunes in that it syncs Outlook, photos, music and other media with Samsung devices. Unfortunately, Kies often doesn’t work and forces people to look for Kies alternatives.

Its one advantage over the other sync software products is that it syncs media. But that’s quickly erased when you consider all the problems people experience with Kies not connecting, disconnecting the phone’s Wi-Fi and even preventing Windows Updates from doing its job.

Since this is the Akruto blog, you know which one we recommend for Windows PC users who want to the best way to transfer an Android calendar to Outlook. Samsung Kies has too many problems. Outlook.com isn’t recommended because it stores your information in the cloud.

Furthermore, you most likely have more than one device. With Akruto, you can sync with unlimited compatible devices for no extra charge. The software works with iPhone, iPad, iPod Touch, Windows Phone and Androids.

Google Nexus 4 and other droid phones don’t come with notes and tasks. In this case, you can download notes and tasks apps that work with Outlook. When you use Akruto with these apps, you’ll be able to sync Outlook tasks with Android as well as Outlook notes.

Try Akruto Outlook sync software free for seven days to discover what it can do to sync Android with Outlook contacts and calendar.

Will this AtrutoSync program work with the LG G3?

    • James January 19, 2015 at 10:14 am

Carlton, sure does. I have an LG — not a G3 — and it works great. As I understand it, Akruto works with all current Android phones regardless of model.

I want to initially upload my android contacts to outlook, but it appears that Akrotosync will initially only download outlook contacts to the android? Will I lose my initial android contacts, if not will they be synced to outlook when I sync the second time?

    • Akruto Support April 13, 2015 at 8:39 pm

AkrutoSync will not delete your old contacts, so you are absolutely safe in this regard. However, AkrutoSync will sync only data that was already in Outlook when you install AkrutoSync; or data that you add after installing AkrutoSync. If initially all your contacts are only on your phone, you will need to import them into Outlook prior to switching to AkrutoSync. We have guides that can help you do this http://www.akruto.com/backup-phone-contacts-calendar/. You can also contact our support if you need additional help.

Will Akruto sync all fields (such as “job title” and contact “notes”) to a Galaxy phone or other Android phone?

    • Akruto Support April 25, 2015 at 4:10 pm

AkrutoSync will sync all fields that exist both in Outlook and on your phone. Outlook and all Galaxy phones have contact notes, so they will be synced. If your phone has a “job title” field, it will be synced, too.

    How much does AtrutoSync cost?

    • Akruto Support June 5, 2015 at 5:04 pm

A single license costs $34.95. This is one-time payment, with no additional costs. This lets you install AkrutoSync on one computer and sync with any number of phones and tablets. If you need to sync multiple computers, you will need a license for each. We have volume discounts (http://www.akruto.com/multi-user-discounts/).

I have Samsung Galaxy S6 Edge.
    1. Is AkrutoSync compatible with my S6 Edge?
    2. Clarify please. Will AkrutoSync sync Contacts, Calendars, Tasks, etc. from Microsoft Outlook 2010 PC Email Client to Samsung Galaxy S6 Edge corresponding Folders and from the S6 Edge back to Microsoft Outlook 2010 PC Email Client?
3.Samsung Galaxy S6 Edge OS is Android v5.0.2.
    4. Once purchasing AkrutoSync and new Android OS releases come out will the purchased copy become incompatible with the newer Android releases and if so will that mean I will have to again purchase a newer version of AkrutoSync to get a version that will be compatible with newer Android releases.
    5. In addition to using AkrutoSync to sync Microsoft Outlook 2010 to all phone devices, tablets, etc. can AkrutoSync be used to also sync to another PC’s Microsoft Outlook 2010 PC Email Client so that the second PC will have an identical copy of the Contacts, Calendars, Tasks, etc. on all devices and PCs.

    Thanks.

    • Akruto Support June 27, 2015 at 11:11 am

Jim, AkrutoSync works with Galaxy S6 edge. It can sync Contacts, Calendars, and Tasks between your Outlook 2010 PC Email Client and the built-in apps on your Samsung Galaxy S6 Edge. This phone does not have a built-in app for notes, but if you install an app from our recommended list http://www.akruto.com/synchronize-outlook-apps/, you can sync notes as well. AkrutoSync does not sync email, and does not sync multiple folders. You can get email directly on your phone, so you do not need a sync program for that. The first sync is from Outlook to the phone only. After this, any contacts, appointments, events, tasks, or notes you create on either device will sync to the other device (two-way sync). You can also add additional phones or tablets and they will all sync, regardless of where you create your contacts, appointments, events, tasks, and notes. We support all current Android versions and expect to add support for new android versons as they come out – at no additional charge. So it’s $34.95 one-and-done. If you want to sync a Outlook on a second PC (so that two Outlooks are in sync), your second PC will need to have Outlook 2013 or 2016. The main PC (where you install AkrutoSync) can have any version of Outlook from 2003 (yes 12 years ago) to 2016. As Microsoft releases new versions of Outlook, we will support them too.

just bought a Samsung Note 5. I use outlook 2013. In the past I have used Companion Link and DejaOffice with my previous Note 2. • Akruto Support September 1, 2015 at 10:58 am

Yes, AkrutoSync is compatible with Galaxy Note 5. We support all Android phones, including the latest Samsung Galaxy phones. All Android versions, from 2.3 to the latest android M are supported. All Outlook versions from Outlook 2003 to Outlook 2016 are supported as well.

I am a BB 10 user and sync to my PC & Outlook 2003 using BB Link. It provides reliable two-way syncing of Contacts, Calendar and Notes. The Notes are attached to each contact [and viewed] simply by scrolling down. Are your Notes transferred and viewed the same way and will it all work On a Moto X Play. Thnx

      • Akruto Support September 10, 2015 at 7:51 am

Yes, AkrutoSync lets you add notes to individual contacts. You can view these notes either in Outlook or on your phone using the phone’s built-in contact app. Works like BB Link, but allows you to sync with all your devices. For example, if you have an Android phone, in addition to your BlackBerry, you can use AkrutoSync to sync both.

You can use the same version of AkrutoSync to sync with all your devices, including Android, iPhone and Lumia Windows Phones.

    • Akruto Support September 18, 2015 at 4:14 pm

Can I use AkrutoSync with my Galaxy Note 5? I am on Windows 10 by the way.

    • Akruto Support October 23, 2015 at 10:44 am

Yes, you can use AkrutoSync with Galaxy Note 5. As new phones and new software comes out, we make sure AkrutoSync works with these phones and software. Most of the time we don’t need to make any changes for new phones – they just work. And if we need to update AkrutoSync we do this quickly. AkrutoSync works with all Android versions from 2.3 to 6.0 Marshmallow. All Windows versions from XP to Windows 10 and all Outlook versions from XP to Outlook 2016.

    • Akruto Support December 1, 2015 at 6:42 pm

    • Akruto Support December 6, 2015 at 10:52 am

Yes, AkrutoSync will realize that you upgraded Outlook and switch to the new version automatically. If you keep both old and new versions of Outlook, AkrutoSync will automatically use the last version you installed, but you can also tell it to use the older version, if you want to.

  • Rick Wannall January 15, 2016 at 4:18 pm

I am eager to try this, but not eager to have my Contacts backup emailed to me across the internet, which seems to be the only option in 123 Contact Backup. You take security so seriously otherwise that I’m surprised you don’t allow the backup to be saved as a text file on the phone, since it could then easily be transferred to my network by cable or wifi connection, without involving the internet at all. Any possibility of this as an option in the future?

    • Akruto Support January 17, 2016 at 11:21 pm

Good point, Rick. Most of our users do not use the 123 Contact Backup app at all because they either start with a new phone or switch form another sync program to AkrutoSync. We’ll enhance our 123 Contact Backup app to not require the use of email.

I presently have (2) desktops and a laptop with Outlook 2003, 2010, and 2016 along with a Samsung Tablet and a new Sumsung Galaxy Note5. Can I dependably sychronize/coordinate calendar, contacts, etc. between all of these? If so how many copies of your software do I need? At what cost? With a previous Galaxy phone I finally gave up on Kies.

    • Akruto Support February 12, 2016 at 2:19 pm

You can install AkrutoSync on one PC and have any number of phones, tablets and (with some restrictions explained later) other desktop and laptop computers sync with it. This will keep your data in sync across all your devices. The restriction I mentioned is that to sync PCs where AkrutoSync is not installed, they must have Outlook 2013 or later, or Windows 10. The PC where you install AkrutoSync does not have this restrictions – it can have any version of Windows and Outlook.

I’ve always used Blackberry Desktop software to sync MO Outlook 2007 calendar and contacts, so easy with a USB cable and then just sync at the end of each day with my BB, I run a small business from home. I’ve just bought an android phone, Aquarius BQ M4.5, and have realised my error re syncing. Does this system offer all the same as I had before, so I can just easily sync, or it happens as I create new contacts and appointments? Thanks in advance.

    • Akruto Support May 1, 2016 at 1:44 pm

You can sync all your existing data as well as the new contact and appointments you create. AkrutoSync is going to be a different experience compared to Blackberry Desktop, as AkrutoSync does not use USB cables. You set up sync over Wi-Fi once; then whenever your phone is within your Wi-Fi network range it will connect to your computer automatically and sync. There are not buttons to push or cables to attach.

  • jack August 24, 2016 at 11:10 am

the product seems to only transfer data from the PC to the phone. not from the phone to the outlook on the PC

    • Akruto Support August 24, 2016 at 12:54 pm

When adding a new contacts, appointments, etc, on your phone you have a choice of whether to add it just on the phone, sync it with some cloud account, like Google, or sync it with AkrutoSync. If you are adding an appointment, look which calendar the phone wants to add it to and change it to AKRUTO calendar. Where the option appears on the screen depends on where the manufacturer put it, but it is always there. Once you select your calendar, the phone will remember your selection until you change it, so you won’t have to think about it again. Same for contact, tasks and notes.

I have Outlook 2013 at home and 2016 at office and want to sync both with my Galaxy S7. If I will use Akruto, will I be able to view Outlook data from two PCs? Is there an option to sync with my home PC over the Internet while syncing sync another PC via Wi-Fi?
    Thank you

    • Akruto Support November 5, 2016 at 6:01 pm

Hello, David. Yes you can install AkrutoSync on both PCs and sync both with your Galaxy S7. You will need to purchase two registration codes (or two subscriptions) to do this. Also, you can sync with your home PC over the Internet and you office PC over Wi-Fi like you indicated. Note, that in this setup your phone will have two calendars (each synced with one PC). Each PC will have it’s own calendar.

Does this product sync with the built in windows calendar app in windows 10? (Not outlook).

    • Akruto Support October 22, 2016 at 2:56 pm

You can sync between the built in windows calendar app in windows 10 and Outlook. To use AkrutoSync you need to have Outlook on at least one of your Windows computers. You will install AkrutoSync on that computer and sync your other devices with it. Those other devices don’t need Outlook. You can sync with the built-in Windows 10 calendar (as well as built-in Android and iOS calendars).

Can your software transfer contact pictures from Outlook 2013 to the contacts app of my Galaxy S7? I have more than 2000 contacts in my Outlook and want every single image to show up on my phone. What’s the best way to do that?

    • Akruto Support October 27, 2016 at 10:13 am

      Hello Andrew,
AkrutoSync will transfer every filled field from Outlook to your phone including contact notes and contact pictures. The fastest way to transfer all your contacts from Outlook 2013 to your Galaxy S7 is to sync via Wi-Fi network.

I am planning to sync my smartphone with all my Outlook contacts through Akruto. The problem is that I have a huge contact list with 4500 contacts in my Outlook. Can I be sure Akruto will transfer every Outlook contact with its profile picture and category to OnePlus 3?

    • Akruto Support November 1, 2016 at 9:17 am

      Hello Sergio,
Our software is designed to sync any amount of Outlook data with any Android smartphone. Profile pictures and categories will be synced as well. We recommend you to sync via Wi-Fi as it’s the fastest way to transfer your data.

I have Outlook 2010 installed on my Windows 10 PC. Few days ago, after the latest update, something happened to my PC and Outlook stopped syncing with Outlook.com and I can’t update calendars on my smartphone. Is there a chance that I could fix this issue with your software?

    • Akruto Support November 2, 2016 at 10:46 am

Sorry you are experiencing a problem. AkrutoSync won’t help you restore sync between your Outlook 2010 and Outlook.com, but you can use AkrutoSync to sync between Outlook on your PC and your phone. If you’d like to give it a try and see if you like, give our free trial a try. It is fully function for 7 days and does not require any credit card upfront.

Can your software sync Outlook notes with Sony Xperia Z3 without using any additional applications? Will I be able to add new notes on my smartphone and have them displayed on my PC running Outlook?

    • Akruto Support November 5, 2016 at 5:37 pm

You can easily sync Outlook notes with your Sony Xperia. However, many Androids don’t come with a notes app. If that’s your case, you need to install either Touchdown app or Tasks & Notes for MS Exchange.

I’m looking for Samsung Smart Switch alternative for syncing my Galaxy S7 with Outlook contacts and calendar events. For some reason it can’t transfer all the changes at once. Is it something wrong with my smartphone or switching to another software will fix this issue?

    • Akruto Support November 7, 2016 at 5:11 pm

We think all the problems you have are caused by Smart Switch and there’s nothing wrong with your smartphone. Our software can be a good Smart Switch alternative if you need a seamless way for syncing Outlook with Android phone or tablet.

Can I set to syn only calendar from a certain period say, from this month onwards and not the month before that? I have too many entries way back from 2005 so it makes syncing a long time if everytime I sync, it goes through everything…

    • Akruto Support November 17, 2016 at 6:36 pm

The first sync will transfer everything, so if you have a calendar going back to 2005, the first sync may take a long time. After that sync will be quick, because it only needs to transfer what has changed since last time. If you want the first sync to be quick as well, you can use Outlook archive feature to archive old calendar entries.

Can Akruto transfer calendar events from Outlook 2016 to S Planner on my Galaxy S7?

    • Akruto Support November 20, 2016 at 12:39 pm

Yes. S-planner is the built-in calendar on Samsung’s devices. AkrutoSync works with all built-in calendars (and with many third-party calendars as well).

    • Akruto Support December 15, 2016 at 9:53 am

Yes, AkrutoSync works with all Android phones and tablets (as well as with Apple devices). You can use AkrutoSync to sync both your Galaxy tab and Galaxy S6 edge with Outlook.

If I have Outlook installed on my home PC and prefer syncing over Wi-Fi, how can I switch to syncing over the Internet when I’m away from home or on a business trip?

    • Akruto Support December 30, 2016 at 1:44 pm

You can switch between Wi-Fi and Internet sync as described in this FAQ question.

  • Derek January 4, 2017 at 6:16 am

Hi – I have already used Samsung’s ‘Smart Switch’ app to copy my Outlook 2007 contacts and calendar appts to my Samsung A3 2016 phone. I’m now looking to keep that data on the two devices in sync. Will Akrutosync do that? Will my having already copied the data across cause any issues?

I AM THINKING OF BUYING A HUAEIE LITE 2017 MOBILE PHONE WORKING WITH NOUGAT. WILL THIS SINK WITH MY MICROSOFT OUTLOOK 2007 ?

  • Rich September 7, 2017 at 5:48 am

I’d like to understand the sync feature a little better.
    What initiates a sync?
If both devices are on the same wifi network, will sync occur automatically – with no intervention from user?
How does the software handle a wifi interruption (i.e. loss of power) during a sync?
Is it possible to force data from one to the other without a bilateral sync?
If PC and Android are separated by a great distance, and the PC has been set up for wifi sync only, can the Android device initiate a “cloud” sync?
    Thanks!

    • Akruto Support September 8, 2017 at 11:44 am

Thank you for your questions, Rich. Here’s how it works. AkrutoSync pretends to be an Exchange server. You create an Exchange account on your phone, so that the phone syncs with this fake Exchange server (In reality, there is no server. Your phone connects to your PC.)

      > What initiates a sync? If both devices are on the same wifi network, will sync occur automatically – with no intervention from user?
Your phone initiates a sync automatically. You can also initiate it manually from your phone.

      > How does the software handle a wifi interruption (i.e. loss of power) during a sync?
Your phone will keep trying to connect. When both devices are on the same Wi-Fi network again, they will connect and sync, usually within a few minutes of both devices getting on the same network. Or you can force a sync manually.

      > Is it possible to force data from one to the other without a bilateral sync?
We ask that before the first sync, Outlook has all data and phone has none. The first sync will sync all data from Outlook to phone. After that, sync is bi-directional. There is no way to change this.

      > If PC and Android are separated by a great distance, and the PC has been set up for wifi sync only, can the Android device initiate a “cloud” sync?
AkrutoSync does not use the cloud. If you like, you can set up sync over the Internet (rather then Wi-Fi). Then your phone and your PC can be separated by any distance. Still your connects directly to your PC over a “long-distance” encrypted SSL connection.

My wife has Outlook on her Galaxy S8 and her PCs. Will Akruto sync to her Outlook on her Android? Or just to the residence calendar, contacts and tasks programs that came with the phone?

    • Akruto Support October 8, 2017 at 8:01 pm

AkrutoSync will sync with built-in apps on the Galaxy.

  • Marty Heiberger October 11, 2017 at 12:54 pm

Is Akrutosync is only syncing from my PC to my phone? I am trying to sync my calander. It does not sync both ways?? Phone is a Galaxy J3. So far I am only running the free trial version to see how it woks.

    • Akruto Support October 12, 2017 at 11:08 am

Thank you for trying AkrutoSync, Marty. AkrutoSync can sync in both directions. Please see this FAQ question to sync calendar from phone to computer. Once you do this for one appointment, your phone will remember to sync all new appointments with Outlook and you won’t have to think about it.

Does this software work with the new Sony Xperia XZ1 Compact?

    • Akruto Support October 29, 2017 at 12:23 pm

Yes, AkrutoSync works with Sony Xperia android phones, including Sony Xperia XZ1 Compact. You can use it to sync contacts, calendar and tasks between Outlook and the built-in apps on your phone. Xperia does not have a built-in notes app, but you can install one if you need to sync notes.
